Dental EMR (Electronic Medical Records) software is the clinical-record layer of a dental practice management system. It stores patient information, treatment history, intra-oral findings, prescriptions, X-ray and RVG images, treatment plans, consent forms, and clinical notes inside a searchable digital timeline tied to each patient. Unlike paper charts, dental EMR data is accessible across visits, branches, and devices — and signed consent forms or treatment plans can be shared with the patient digitally. Indian clinics typically need dental EMR to integrate with professional billing and WhatsApp communication so a patient's records, invoices, and follow-ups live in one continuous workflow.
Dental billing software generates patient invoices, records full or partial payments, separates treatment fees from medicine sales for inventory and reconciliation reasons, tracks pending dues by ageing buckets, and supports India-specific requirements like itemised professional billing. When a treatment is completed, the team selects procedures from the clinic's price list; the software computes the bill, accepts cash, card, UPI or net-banking, and records the payment against the patient's account. Outstanding balances stay visible to the front desk until cleared. Reports show daily collections, ageing analysis at 30/60/90+ days, and treatment-wise revenue, helping the clinic owner manage cash flow.
WhatsApp is the highest-response messaging channel in India, with read-through rates several times higher than SMS or email. Pricing & plans

No. Standard onboarding — including data migration, WhatsApp bot setup, and team training — is included in every subscription. For multi-branch clinics with complex existing systems, we may quote an optional implementation fee, discussed upfront.
Migration
Yes. Simpld supports guided migration from notebooks, spreadsheets, and most existing dental clinic software including Practo Ray, Dentrix, and custom in-house systems. We map patients, appointments, treatment history, and financial ledgers so nothing is lost.
Yes. Past treatments, prescriptions, payment history, and outstanding balances are all migrated. X-ray images and scans can be uploaded into each patient's timeline either during migration or as you see those patients on follow-up visits.
For a single clinic with up to 10,000 patient records, migration typically takes 2–3 working days. Multi-branch groups or clinics with 50,000+ records may take a week. We test the migration in a sandbox first so you can verify everything before going live.
Billing & payments
Indian dental clinics are typically exempt from charging GST on dental treatments, so Simpld generates clean, itemised professional invoices instead. If your clinic does collect GST on pharmacy sales, the medicine billing module handles that separately with its own invoice stream.
Yes. Patients can pay in instalments across visits and Simpld keeps the running balance updated per patient. Your team always sees exactly what's paid and what's outstanding.
Yes. Razorpay and PayU are supported for online collections. Cash, card swipe, UPI, and bank transfers are also recorded as payment methods within the invoice. Your daily collection report rolls all of them up.
EMR & clinical records
Yes. Patient records are stored in encrypted, access-controlled cloud infrastructure on AWS Mumbai with role-based permissions, audit logs, and regular backups. We follow Indian data-protection guidance (DPDP Act) and healthcare-oriented operational practices.
Yes. Role-based access lets multiple doctors, hygienists, and assistants work on the same patient timeline. Every change is logged with the user and timestamp, so the record stays accountable across the clinic team.
Yes. RVG, OPG, intra-oral photographs, and external scans can be uploaded directly into the patient's timeline and viewed during the next visit on any device. Images are stored at full resolution with thumbnail previews for fast browsing.
WhatsApp automation
No. Simpld provides its own bot that handles all messaging — you don't set up WhatsApp Business, get a separate number, or manage templates. The bot reaches patients, doctors, clinic owners, and labs automatically, on the clinic's behalf.

Yes, within WhatsApp's approval rules. Each template (appointment reminder, treatment-complete, recall, birthday, etc.) can be tuned for tone and wording during onboarding. Templates are English today; regional language templates are on the roadmap. New custom templates are submitted to WhatsApp for approval and usually take 24–48 hours.
If a patient hasn't opted into WhatsApp, has WhatsApp uninstalled, or the message fails, Simpld automatically falls back to SMS using the linked SMS gateway (MSG91/Twilio). Your team sees the delivery status in the patient's communication log.
Multi-clinic management
Both. Single-clinic teams use Simpld as-is; dental groups with multiple branches use the same platform with branch-level data segregation, per-branch staff and roles, and consolidated owner dashboards for cross-branch reporting.
Yes. Each branch has its own staff list, doctor calendars, procedure prices, and inventory. Front-desk users see only their branch; clinic owners can switch between branches or view consolidated data.
Yes. The owner dashboard rolls up revenue, appointments, no-show rate, outstanding receivables, and treatment-mix across all branches. You can also drill into a single branch's numbers for comparison.
Prescriptions
Yes. After the consultation, the doctor selects the prescription template, edits if needed, and sends it on WhatsApp instantly — including dosage, frequency, and instructions, in a clean readable format with the clinic's letterhead.
Yes. Common dental prescriptions (antibiotics, painkillers, mouthwash protocols, post-extraction kits) are pre-loaded and can be customised per doctor. Selecting a template auto-fills the prescription, which you can edit before sending.
Yes. Each prescription line carries dose, frequency, duration, and free-text instructions. Standard instruction snippets (e.g. "take after food") are available as quick-pick chips so prescriptions can be built in under 30 seconds.
Treatment planning
Yes. Treatment plans can span multiple visits with procedures, sequencing, estimated cost, and an estimated timeline. As work is completed visit by visit, the plan automatically updates with what's done and what's pending.
Yes. The treatment plan can be shared with the patient on WhatsApp as a clean, printable summary — procedures, sequence, and price — so they can take the decision with their family. Once accepted, work begins from visit 1.
Yes. Every treatment plan generates a branded PDF estimate with the clinic logo, patient details, itemised procedures, applicable taxes, and total. You can email it, WhatsApp it, or print it from the patient's profile.
Inventory & materials
Yes. The inventory module tracks materials (composites, impression materials, anaesthesia, instruments) and consumables with vendor, cost, batch, and current stock level. Stock decrements automatically as items are used in procedures or sold to patients.
Yes. Each item has a low-stock threshold; when stock falls below it, the clinic owner and front-desk lead get a notification with a one-tap reorder request to the assigned vendor.
Yes. Lab orders (crowns, aligners, prosthetics) are logged per lab with cost, status, and expected dispatch date. Payments made to each lab are reconciled against their outstanding bills so you always see what's due to whom.
Patient reminders & recall
Yes. Every appointment automatically triggers a WhatsApp reminder (with SMS as fallback) at the timing your clinic chooses — typically 24 hours before, then morning-of. Patients can confirm in a single tap and your team gets a clean call list of the rest.
Yes. For ortho/aligner cases, Simpld sends an automated WhatsApp message on each tray-change date you set up — so the patient never misses a change and your team doesn't have to track it manually.
Yes. Simpld auto-queues recall reminders at 3, 6, 12, and 18 months for patients who haven't visited. You can also run on-demand recall campaigns segmented by last-visit date, procedure type, or pending treatment plans.
Yes. The Pro plan includes automated birthday wishes that go out on the patient's birthday via the Simpld WhatsApp bot, with an optional discount/offer line you can configure.
Appointments
Every appointment moves through three states — Upcoming (booked but not yet at the clinic), Check In (patient has arrived), and Completed (visit closed). Your team can filter the calendar or list by status to see exactly who's pending, who's in the chair, and what's already wrapped.

Yes. For ortho cases, recurring cleanings, or scheduled treatment series, you can create a whole sequence of appointments at once instead of booking each visit one by one.

Payments
An estimate is shared with the patient before treatment begins so they can decide on cost and scope; an invoice is generated once the treatment is delivered. Both are branded PDFs you can WhatsApp, email, or print. Estimates flow into invoices automatically when the treatment is marked complete.
Most clinics handle treatment fees and medicine sales differently — inventory, vendor reconciliation, and pharmacy tax treatment all sit downstream of medicine billing. Simpld keeps them as separate billing lines so monthly billing reports, ageing analysis, and inventory reconciliation stay clean.

Cash, Card, UPI, and Bank transfer are all first-class payment modes inside Payment-In. A single receipt can split across multiple modes (e.g. ₹500 UPI + ₹1,000 Cash). Daily collection reports break the split down by mode.
A live view of pending dues bucketed into 0–30 days, 30–60 days, 60–90 days, and 90+ days. You see at a glance which dues need urgent follow-up and which are already write-off candidates.
Reminders
Three types: patient recalls (the 6-month cleaning, the lapsed-patient re-engagement), treatment follow-ups (post-extraction check-in, aligner tray-change, prescription refill), and custom staff reminders (the front-desk's own to-do list — call patient X about balance, follow up with the lab, pay the vendor).

An interactive tooth chart split into the four standard dental quadrants. Tap any tooth (or a surface within it) to record findings, plan a treatment, or view what's already been done. The chart is the home of every clinical visit — your dentist works from it directly during the exam.
Yes. RVG, OPG, intra-oral photographs, and external scans can be uploaded directly into the patient's timeline and viewed during the next visit on any device. Images attach to the specific tooth or visit they belong to.
Build the plan tooth by tooth (or quadrant by quadrant) from the dental chart, sequence the procedures across visits, set the estimated cost, and share the branded PDF estimate with the patient on WhatsApp. As work is completed, the plan auto-updates with what's done vs. pending.
Yes. Pre-built dental consent templates (extraction, RCT, implant, ortho, etc.) can be sent to the patient's phone for e-signature, and the signed copy is stored alongside the treatment plan in the patient's record.
Yes. After every procedure, post-treatment care notes (do's, don'ts, medication schedule, follow-up date) are recorded against the visit and auto-shared with the patient on WhatsApp.
Expenses
Four built-in categories: Clinical (rent, salary, electricity, maintenance), Lab Bill (payments to dental labs against their invoices), Consultant Payout (visiting doctor payments), and Pharma Invoice (medicine and material purchases). Each category has its own report so monthly P&L breaks down naturally.
Yes. Rent, electricity, internet, software subscriptions — anything that repeats — can be set as a recurring expense with a frequency (monthly, quarterly) and a reminder date. Simpld posts the expense on the due date so it never goes missing.
Yes. Doctor payouts can be configured per visit, per procedure, as a percentage of monthly revenue, or as a fixed salary — whichever your clinic uses.
Yes. Every payment made to a lab is logged against that lab's outstanding bills, so you always see what's paid and what's pending. Lab Bill expense entries cross-link to the lab order they belong to.
Inventory
Every purchase entry creates a batch with its own quantity, cost, vendor, and expiry date. When you sell or use a unit, you select the batch (Simpld defaults to the nearest-expiry batch — standard FEFO discipline) so the right stock moves out and reports stay accurate.
Yes — two separate alerts. A low-stock alert fires when the running balance falls below the threshold you set per item. An expiry alert fires N days before a batch is due to expire (configurable per item — typically 60 days for medicines, 30 days for materials).
Yes. When a medicine is added to a patient's bill, its stock count decrements automatically against the selected batch, so inventory and billing stay in lockstep. The same goes for materials used in treatments.
Yes. Every purchase entry captures the supplier, cost per unit, batch number, and expiry — useful for vendor reconciliation, supplier-wise reporting, and product recalls.
Labs
Five stages: Ordered (case sent to the lab), Arrived (the finished work has arrived back at the clinic), Fixed (the work has been fitted on the patient), Delivered (treatment closed), Rework (the case has gone back to the lab for adjustment). You see the live status of every open case at a glance.
Yes. When a case goes back to the lab for adjustment, it moves into the Rework stage with a note on what's being reworked. This means reworks don't get absorbed silently into your costs — you see them, count them, and discuss them with the lab.
Yes. The lab vendor master lets you add any number of lab partners, each with their own contact details, pricing, and outstanding ledger. Each case is tagged to its lab so reporting and payment reconciliation stay clean.
Every lab order captures the lab's bill amount. Payments made to that lab (via the Expenses → Lab Bill category) reconcile against those bills automatically, so you always see what's paid and what's pending per lab.
Dashboard
The day's appointments (broken by status), revenue this week, outstanding balances, pending follow-ups, low-stock alerts, expiring batches, today's lab updates, and recall reminders. For owners, the same view rolls up across branches with a per-branch breakdown one tap away.
Role-aware. The front desk sees today's actions — confirmations to chase, walk-ins, balances to collect. The owner sees the operational rollup — revenue, no-show rate, doctor productivity, branch comparison.
Yes. Each role can pin or hide cards. New users get a sensible default; experienced teams typically pin their three most-used metrics to the top.
Patient Database & Profile
The PIN (Patient Identification Number) is a short, unique number auto-assigned to every patient on registration. It's printed on invoices and shared on WhatsApp, so patients quote it when they call — letting your front desk find them in two keystrokes.
Seven tabs: Appointments (history + upcoming), Treatments (the dental EMR), Prescriptions (every Rx issued), Labs (lab orders for this patient), Files (X-rays, scans, IDs, referrals), Payments (invoices and balances), and Consent (signed consent forms). The single-pane view means doctors and front desk see the same patient, with the same context, every time.
Yes. Medical history, allergies, ongoing medications, and emergency contact are captured at registration and surfaced at the top of the patient profile so the dentist sees them before every treatment.

Eight built-in report sections: revenue (multi-period), payments by mode (Cash/Card/UPI/Bank), doctor-wise productivity, procedure popularity, new patient registrations, treatment plan completion rate, outstanding receivables with ageing, and net revenue (gross minus expenses). All filterable by date range, branch, and doctor.
Yes. Each doctor's revenue, case count, patient count, average revenue per visit, and treatment-mix is computed automatically — useful for consultant doctor payout calculations and for fair performance reviews.
Yes. The procedure popularity report ranks procedures by volume and revenue across any date range. Useful for capacity planning (which chairs to add), pricing decisions (which procedures to discount), and marketing focus.
Yes. Owners see consolidated reports across all branches with a per-branch breakdown. Branch-level users see only their branch's numbers.
Multi-clinic & Settings
Yes. The clinic owner has a single login that can switch between any number of branches. Each branch has its own staff, schedule, procedure prices, and inventory; consolidated reports roll up across all branches for the owner.
Four built-in roles — Owner (full access + consolidated reports), Doctor (clinical workflows + their own productivity), Receptionist (front-desk operations), and Pharmacy (medicine billing + inventory). Permissions are scoped per role so team members only see what they need.
All masters live in Settings — a single place to add or edit doctors, treatments and their prices, medicines, labs, lab-works, and clinic working hours. Masters are defined once and used everywhere across appointments, billing, and reports.
Credits can be topped up in-app any time, with live balance shown next to every messaging surface. Auto-alerts fire at 200 and 0 balance to the clinic owner so messages never silently stop going out.
Yes. Every printed document — invoices, prescriptions, lab orders, treatment summaries — uses a branded template with your clinic logo, name, address, and signature. Templates are configured in Settings during onboarding and apply across every branch.
